Terms and Conditions – 1-1 Meetings Program – Supplier Participation

By participating as a Supplier (“you”) in the 1-1 Meetings Program (“Program”) at Ai4 2026 (“Event”), taking place in Las Vegas at The Venetian (“Venue”) from August 4-6, you agree to these Terms and Conditions (“Agreement”) with CloserStill Ai4, LLC d.b.a. Ai4 (“we,” “us,” or “our”), a Delaware incorporated company.

Hosted Meetings Program Overview

Ai4 2026 will facilitate one-on-one, 15-minute onsite meetings (“Meetings”) between Buyers and Supplier Meeting Participants. All meetings will occur in the designated meeting during the Event’s designated Meeting Times.

We do not guarantee any minimum number of Hosted Buyers or meetings, and the number of meetings arranged may be less than what was purchased by any Supplier Group.

Hosted Buyers are individuals who qualify as buyers or influencers of technology and solutions. These individuals agree to attend up to four (4) 15-minute meetings with Participating Suppliers as part of the Program.

Meeting Seller Groups are organizations (or divisions, sales teams, or departments) enrolled in the Hosted Program under a fully executed Ai4 2026 meeting agreement (“Meeting Agreement” or “Sponsor Agreement”). Multiple groups within a single organization may participate. Supplier Groups are included in the Hosted Meeting scheduling process, which Ai4 manages and can modify at its discretion. Each individual representing a Supplier Group is a “Supplier Group Meeting Participant.”

Meeting Times are predefined and must be adhered to by Participating Supplier Groups. These times will be provided in advance and may be subject to change.

Payment and Reconciliation

Supplier Groups must pay as outlined in the Order Form and according to the provided fulfillment timeline. Failure to complete payment by the start of the fulfillment process may result in removal from the Program. Any deposits or funds already paid will not be refunded.

Ai4 will work to maximize the number of Hosted Meetings, and any issues will be handled to the best of our ability. After the Event, we will reconcile the total number of “Completed Hosted Meetings,” which is defined as the number of meetings minus:

  • Meetings that could not be held due to the absence of Hosted Buyers (including late arrivals that result in meetings shorter than 15 minutes).
  • Meetings that failed due to scheduling errors made solely by Ai4.

If Ai4 cannot reschedule a meeting, we will refund the difference between the number of Completed Hosted Meetings and the Meetings Payment Amount, within 60 days of the Event.

Fulfillment Responsibilities

Supplier Groups must provide all information requested by Ai4 by the specified deadlines, including but not limited to:

  • Contact information for the primary point of contact at the Supplier Group (“Supplier Group Contact”).
  • Company and product descriptions, categorizations, and any other required information.
  • Contact details for Supplier Group Meeting Participants, including phone numbers or alternative communication methods for issue resolution during the Event.

Rules & Directives

Participating Supplier Groups and Meeting Representatives must adhere to the rules and directives set by Ai4, including those outlined in our general terms & conditions here.

Ai4 reserves the right, at its sole discretion, to determine the eligibility of any organization or individual to participate in the Hosted Program. We also reserve the right to terminate participation for any reason at any time, which may include canceling scheduled meetings and issuing a refund of the Meetings Payment Amount.

Termination and Non-Compliance

Failure to comply with the Hosted Meeting Rules and Directives, or any other rules established by Ai4, may result in:

  • Reduced or no refund of the Meetings Payment Amount.
  • Removal from the Hosted Program.

Termination of a Supplier Group’s participation does not entitle them to terminate other parts of this Agreement or to receive a refund of the Order Fee.
