This document sets out the terms and conditions between CloserStill Ai4, LLC and you when you register for any event or conference organized by CloserStill Ai4, LLC. By registering for an event or conference organized by CloserStill Ai4, LLC you are agreeing to comply with these terms and conditions. You should read this document carefully.
Acceptance of Policies and Registration Conditions
The following Ai4 Registration Terms & Conditions (the “Terms & Conditions”) apply to all Ai4 events. Prior to your registration, you must acknowledge and accept the Terms & Conditions contained herein. Should you not wish to accept the Terms & Conditions you should not register.
Submission of a registration is regarded as affirmation of your acceptance of the Event Terms & Conditions.
Please be aware that additional Terms & Conditions related to our 1-1 meetings program apply to Enterprise AI Buyer Pass Holders as well as Sponsors who purchase 1-1 meetings. Please follow the links provided in the sentence prior to review those additional terms and conditions as well.
How We Will Use Your Information
Ai4 is committed to data privacy and protecting your personal information. Information on how Ai4 collects, processes, and uses your data is included in the Ai4 Privacy Policy which is hereby incorporated into these Terms & Conditions. Additionally, by submitting your email address during the event registration process, you agree that Ai4 and its event partners may send you event-related information. A valid email address is required for all registrations.
Ai4 uses the personal data you provide in this registration for administering your participation in this event. This may include information about the event’s content, event logistics, payment, updates, and additional information related to the event.
Ai4 may disclose your personal data to third party service providers engaged by Ai4 to assist in the conduct of the event. Information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to Ai4 may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties. Except as described herein, Ai4 will not disclose your personal data to any other third party without your consent except where required to do so by law.
Cancellation Policy
You may apply for a full refund and ticket transfers in writing up to 60 days prior to the event start date. Within 60 days prior to the event start date, refunds will not be granted unless you are unable to obtain a visa, but you may still transfer your pass to a colleague with our approval. Transfer or Substitution of Tickets
You are not permitted to resell or transfer your Event ticket to another individual, or allow another individual to attend in place of the named delegate, without our prior written permission. If you are no longer able to attend an Event after purchase of an Event ticket, subject to our prior written approval, we may be able to transfer the booking to another delegate provided by you, subject to an administration fee.
Nondiscrimination Policy
Ai4 prohibits discrimination, harassment, and bullying against any person for any reason—for example, because of age, ancestry, color, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law.
Event Conduct and Safety
Ai4 is committed to providing a safe, productive, and welcoming environment to all participants, including staff and vendors, at Ai4-related events. Ai4 has no tolerance for discrimination, harassment, or bullying in any form at Ai4-related events. Participants are expected to adhere to these principles and respect the rights of others.
What To Do If You Witness or are Subjected to Unacceptable Behavior: Participants should report any behavior inconsistent with these principles to onsite event staff. Event staff will be happy to help participants contact venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the event. We value your attendance.

Session Capacity
Ai4 events may include sessions, workshops, or activities with limited seating or capacity. Entry to these sessions is available on a first-come, first-served basis, and Ai4 cannot guarantee availability or admission to every session for all attendees. Purchasing an event ticket does not guarantee access to any specific session. Ai4 encourages attendees to arrive early to secure seating for sessions of high interest. No refunds, credits, or compensation will be provided in the event an attendee is unable to access a session due to capacity limits.
Liability Waiver & Release
In consideration of being allowed to register for, and participate in the event, you hereby warrant and represent that you are age 21 or above and freely waive, release from liability, assume all risks, and covenant not to sue Ai4 or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, including but not limited to COVID-19, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of Ai4. This Liability Waiver and Release is specifically binding upon your heirs and assigns and is knowingly given.
If you are under 21, you will not be allowed to attend the conference. You may ask our team for a full refund with proof of a valid government-issued ID.
Service as a Speaker
All terms outlined in this agreement will apply equally to speakers as well. Additionally, if you agree to speak at an Ai4 sponsored event, we may share your biographical information with event attendees. Sometimes we may also request a photograph. In other cases, we post on the respective event website information such as your name, employer, as well as a link to your company website and/or professional LinkedIn page available to the public.
Speaker and Content Changes
Ai4 plans its events and conferences based on information available at the time of scheduling. While we strive to deliver all advertised sessions and speakers, circumstances beyond our control may require substitutions, alterations, or cancellations of sessions, speakers, or event content. Ai4 reserves the right to make such changes at any time without liability. The cancellation or substitution of any speaker or session does not entitle attendees to any refunds, credits, or compensation for tickets purchased. Ai4 will use reasonable efforts to update the event program and website to reflect any such changes as soon as practicable.
Badge Scanning & Tracking During the Event
Ai4 event co-sponsors, exhibitors, and other third parties may directly request your personal information at their exhibit booths or presentations. Providing your information to them is optional, and you should review their privacy policies to address your particular needs and concerns about how they will treat your personal information. Please understand and agree that when you present your badge for scanning or when you provide personal data, that information will go to a non-Ai4 entity and Ai4 takes no responsibility for how that company uses your personal information.
Also, you understand and acknowledge that Ai4 may use bluetooth tracking in order to record which sessions you attended or which locations you spent time in while inside the conference venue. Ai4 will not (and cannot) record location information while you’re outside of the physical event venue. Any data collected may be shared with 3rd party sponsors, exhibitors, and partners of our event.
Usage of Photographic and Video Material Taken at Ai4 events
To comply with global data privacy laws, Ai4 imposes certain restrictions on the use of multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums). An attendee is permitted to use hand-held cameras and/or smart phones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Photographs may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.
Ai4 may hire professional service providers (photo/video/streaming/audio) to document and display the event experience. Ai4 may also use social media (e.g. Twitter) to: (i) post real-time photos and videos to its social media feeds; and (ii) display select submissions from those feeds on monitors throughout the event venue. Attendees and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe upon the rights of any attendee, sponsor, third party, or Ai4. Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights. In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee.
By attending the event, you acknowledge and agree as follows:
(a) Ai4 may photograph, film, record, and otherwise capture your name, image, likeness, voice, and/or statements in any media format at the event, and may edit, use, reproduce, and distribute such content for marketing, promotional, editorial, and any other lawful purposes in the ordinary course of its business;
(b) the event may be attended by and include coverage from third parties such as documentarians, influencers, members of the press, journalists, and other media personnel, and you acknowledge and agree that your name, image, likeness, and/or voice may be incidentally captured in the background or otherwise included in such third-party content, which may be publicly distributed; and
(c) due to the prevalence of mobile recording devices and independent media, Ai4 disclaims all liability for the capture, use, or distribution of your image, likeness, or voice by other attendees or third parties.
Filming and Recording Policy For Registered Media
Ai4 welcomes accredited media to capture the energy and innovation of our event. To ensure a professional, safe, and non-disruptive environment for all participants, all filming, photography, audio recording, and broadcasting must comply with the following guidelines.
Credentials & Access
- Media Approval: Only approved, credentialed media may conduct professional filming onsite. Media badges must be displayed at all times, and all production crews must be registered in advance.
- Non-Media Filming: Participants with other pass types are not permitted to film during sessions or in the Exhibit Hall without explicit, written permission from the Ai4 team.
- Coordination: Media are encouraged to coordinate recording plans with the Ai4 press team in advance to ensure smooth access and compliance.
Session & Keynote Protocols: To protect our speakers and production quality, please adhere to these room rules:
- Designated Areas: Media may only record from designated zones within approved sessions. Filming from locations that obstruct Ai4 production crews, camera angles, or equipment is strictly prohibited.
- Session Coordination: All on-site filming within session rooms must be pre-coordinated with the Ai4 press team.
- Blackout Sessions: Any session marked “Closed to Recording,” or featuring speakers who have opted out of filming, may not be recorded under any circumstances.
Exhibit Hall Etiquette: The Exhibit Hall features proprietary technology and confidential demonstrations.
- Mandatory Consent: Media must obtain verbal consent from an exhibitor before capturing any media within their booth space.
- Aisle Conduct: Filming must not obstruct traffic.
- Interviews: We encourage the use of designated podcast and interview areas.
Prohibited Activities & Restricted Areas: To maintain the privacy and security of our guests, filming is strictly prohibited in the following:
- Private Spaces: No filming in private meetings, speaker rooms, or VIP areas.
- Unauthorized Content: No booth or speaker filming without explicit consent.
- Hardware: Drone usage is strictly prohibited throughout the venue.
Compliance: Ai4 reserves the right to limit or stop any recording activity that disrupts event operations, infringes on attendee privacy, or violates these guidelines. Failure to follow these protocols may result in the revocation of filming permissions.

Event App
Please be aware that our event app is a white labeled version of the Swapcard app. When you sign up for our event app, you are agreeing to both our Terms of Service, outlined in this document, as well as the full Swapcard Privacy Policy.
Whenever you use our event app, we collect the following personal data:
- Name
- Email address
- Phone number
- Profile picture
- Company, job title, and bio
- Other information you provide about your interests, what you’re seeking, and what services you offer.
Other information Swapcard collects when you use our event platform:
- Location Information. When you use our Platform, infer your general location information, for example by using your internet protocol (IP) address.
- Device Information. We receive information about the device and software you use to access the Platform, including IP address, web browser type, operating system version, phone carrier and manufacturer, application installations, device identifiers, mobile advertising identifiers, and push notification tokens.
- Usage Information. To help us understand how you use the Platform and to help us improve it, we automatically receive information about your interactions with the Platform, like the content you view, the searches you conduct, and the dates and times of your visits.
- Information from Cookies and Similar Technologies. We and third party partners collect information using cookies, pixel tags, or similar technologies. Please see the Cookies section for more information.

Indemnification
I recognize that there is risk involved in the types of activities offered by Ai4. I accept any financial responsibility for any injury that I may cause either to myself or to any other member or other individual due to my negligence or misconduct. Should the parties above, or anyone acting on their behalf, be required to incur attorney’s fees and costs to enforce this agreement, I agree to reimburse them for such fees and costs. I further agree to indemnify and hold harmless Ai4, their principals, agents, employees, and volunteers from liability for the injury or death of any person(s) and damage to property that may result from my negligence, willful misconduct or omission while participating in activities offered by Ai4.
No refund or other remedy will be provided under any circumstances, including, without limitation, if the holder is ejected or refused entry due to disorderly conduct or failure to comply with these terms, any security policies or any terms and/or rules imposed by the Event premises or by Ai4, as applicable, and I will not be entitled to any damages, including, but not limited to consequential, incidental or exemplary damages. All ticket purchases are non-transferrable, except if given prior written permission by a member of the Ai4 team.
Ai4 may provide information to you about certain third-party service providers (each, a “Provider”). I acknowledge I am subject to the rules, regulations, terms of service, and/or related agreements of the Event premises and of any and all such Providers. You acknowledge and agree that Ai4 is not responsible for any third-party products or services offered by any Provider (“Services”). The Services are made available exclusively by each Provider, and Ai4 is not responsible for the performance of the Services and does not make any representations about the Services. I acknowledge that Ai4 accepts no responsibility for any damage and/or delay due to a Provider’s cancellations, shortages, labor disputes, machinery breakdown as well as any quarantine, government restraints, inclement weather or force majeure events beyond Ai4’s control.
I agree that Ai4 liability for loss or damage to me shall be limited to the price I paid for (a) my ticket, or (b) the services I received at the Event. I acknowledge that I will not be entitled to consequential, incidental, or exemplary damages of any kind.
General
Ai4 reserves the right to change, amend, add or remove any of the above Terms & Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining conditions will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).
The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of Ai4. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.
